If you are a salaried employee in India, you probably have a UAN number and some PF money sitting in your account. But here is something most people do not bother with until they actually need the money. I am talking about EPFO KYC. A lot of folks think it is some complicated government thing that can wait. Trust me, it cannot. When you switch jobs or when an emergency hits and you need to withdraw your PF, the first thing EPFO checks is whether your KYC is done. If it is not, your money gets stuck for weeks or even months.
So what is EPFO KYC anyway? It is basically linking your identity documents to your PF account. KYC stands for Know Your Customer. The government wants to make sure that when someone claims the PF money, it is actually the real account holder and not some random person. What documents do you actually need?

NPR card — The National Population Register card also works
One small but critical thing. The name on your bank account should match exactly with the name on your Aadhaar and your UAN. If your Aadhaar says Ramesh Kumar but your bank account says R K Kumar, the system might reject your KYC. So fix any spelling mismatch at the bank or on your Aadhaar first.
How to update your KYC online
The good news is you do not need to visit any EPFO office for this. You can do it from your phone or laptop in under ten minutes. Here is how:
- Go to unifiedportal-mem.epfindia.gov.in
- Click on For Employees, then Member UAN or Online Service
- Log in with your UAN number, password, and the captcha
- Once inside, click on the Manage tab at the top
- From the dropdown, pick KYC
- You will see a list of document types. Tick the box next to what you want to add
- Type in your details exactly as they appear on the document. For bank details, enter the account number and IFSC carefully
- Hit Save
- Your document will now sit under KYC Pending for Approval
Now here is something people get confused about. You do not actually upload scanned copies of your documents on this portal. You just enter the document number and your name as per the document. EPFO then checks this data electronically with UIDAI for Aadhaar or NPCI for bank details. So make sure whatever you type is 100 percent correct.

Once you save the details, the request lands on your employer’s desk. Your company’s HR or payroll team has to log into their employer portal and digitally approve your documents. After they click approve, EPFO does a final verification and marks it as Digitally Approved KYC. You will get an SMS on your registered mobile number once this happens.
Usually, if your HR is quick, the whole thing wraps up in three to five working days. But if your employer sits on it or forgets, you might be waiting longer. In that case, just walk up to your HR and remind them. If they still do nothing for over a week, you can raise a complaint on the EPFO grievance portal or call the toll free number 1800 11 8005.
Why going through this trouble is totally worth it

How to check if everything is approved

Log into the member portal, go to Manage then KYC. If your documents are approved, they will show under Digitally Authorized KYC with a green check mark.
Or you can click on View and then UAN Card. If your KYC is complete, you will see Yes written next to the KYC information row.
There is also a Track EKYC option on the EPFO website. Just enter your UAN and captcha, and it will tell you whether your Aadhaar is seeded properly.
People face problems and how to deal with them
Things do not always go perfectly. Here is what usually goes wrong.
Name mismatch is the biggest culprit. If your names do not match across Aadhaar, PAN, bank, and UAN, the system throws a fit. Fix the mismatch first, then update.
Employer not approving is another headache. Follow up with HR personally. If they ignore you for more than seven to ten days, file a complaint on the EPFO grievance portal.
OTP not coming usually means your registered mobile number is outdated. Update your mobile number in the portal under contact details first.
The portal acting slow or throwing errors is common during peak hours. Clear your browser cache or try early morning or late evening when fewer people are using the site.
